Know what part of each fee is yours

As poor as a church mouse — that is how it ends when self-employed people lose sight of what they owe. Of every fee, part belongs to VAT, part to social insurance, part to the tax office. Only the rest is yours.

Kirchenmaus collects your invoices, numbers and archives them, and works out with each one how much stays yours. At the end of the year you hand your accountant an ordered package. Everything stays on your devices: no account, no bank connection, no server.

The application calculates under Austrian law — VAT, SVS social insurance contributions, income tax and the profit allowance, using the values of the respective year. Germany and Switzerland have different rates and thresholds; the calculation does not apply there.

Why this application exists

I have been writing invoices as a musician for twenty years, and every year brings the same question: how much of this amount is actually mine? It cannot be answered in your head. Social insurance is charged provisionally on the profit from three years earlier and reassessed later. Income tax rises in bands, so the twentieth invoice in November costs more tax than the first in January. And the invoices themselves sit in some mail folder until February.

Kirchenmaus answers that question for every single invoice, and builds the archive your accountant will ask for in spring anyway.

What it does

Collect invoices. Share from Mail, scan with the camera or pick from Files. Amount, date, number and client are read on the device; you check and save. Every invoice is numbered in sequence and stored as PDF. Cancelled rather than deleted, so the sequence stays complete.

Show what stays yours. After saving, your share appears with VAT, social insurance and income tax already deducted. The calculation covers the whole year, so each further invoice meets the correct rate. The assumptions behind it are listed under every card.

Keep the reserves. Separate pots for VAT, social insurance and income tax, each with target and actual. Plus the amount payable for the current month or quarter with its due date, the year’s deadlines, and before the turn of the year an overview of profit forecast, marginal rate and expected back payments.

Capture receipts. Incoming invoices, grants and fixed assets the same way. They provide the input tax and, where actual expenses are recorded, the profit.

Hand over the yearly package. One export per year: every invoice and receipt as PDF, ordered by number and date, plus a spreadsheet and a CSV list with master data, VAT periods and the annual calculation.

Run several entities. Alongside yourself, a company or an association — each with its own number range, VAT setting and pots.

On device, not in the cloud

Text recognition, dictation and the questions about your figures run with Apple Intelligence on the iPhone. No content is sent to servers. There is no Kirchenmaus account and no bank connection; you enter the amounts yourself.

If you wish, turn on iCloud sync: entries, pots, invoices and receipts including documents are then available on iPhone and iPad, through your own Apple account. For receipt work the iPad is more comfortable: a larger preview, and documents dragged in from Mail or Files.

Free and Plus

The free version is a complete working edition: one entity, unlimited invoices and receipts, numbering, archive, reserve calculation, VAT tool and CSV export. It may show ads.

Kirchenmaus Plus is a one-time purchase with no subscription: spreadsheet export with reserves sheet, export of all years and date ranges, the year-end check, questions about your own figures, dictation, reminders for open invoices, several entities, widgets and no ads.

Kirchenmaus provides estimates based on the current values for Austria. Assessment notices and advance payment demands are binding; for your situation, follow your tax adviser. The application does not write invoices, does not file VAT returns and does not replace bookkeeping.
